Out of Office E-mail Auto-Responder

An email auto-responder can be setup for any Synergy 8 e-mail account to inform your clients or customers when you are out of e-mail contact.

How an Auto-Responder Works

  • A customer e-mails your email account info@mywebsite.com
  • The email is delivered to your info@mywebsite.com e-mail inbox to allow you to reply when you return
  • A personalized e-mail is automatically sent to the customer, informing them you are currently away

Configuring The Auto-Responder

  1. Navigate to the "Configuration" page on the Synergy 8 admin panel, Select the "E-mail Accounts" option.
  2. Click the "webmail" link associated with your e-mail account, then on the next screen enter the email account address and password.
  3. In the navigation bar, click on your email address to access the dropdown menu. Click the "Autoresponders" link
  4. Click "Add Auto Responder".

Use the following configuration details:

  • Character Set: Leave set to utf-8.
  • Interval: The number of hours to wait before sending the automatic response. Set to 0 for an immediate response.
  • From: The from name, can be set to your name or your business name.
  • Subject: The subject line of the auto response e-mail.
  • HTML: Tick this option if you are copying and pasting a HTML formatted response. In most cases you can just leave this option unselected.
  • Body: The body message, can be set to something along the lines of "Sorry, we've currently closed for Christmas".
  • Start: The start date to begin sending the auto-response messages.
  • Stop: The stop date when the auto-response message will stop working.

After completing the form, click the "Create/Modify" button.

Removing an Auto-Responder

  1. Navigate to the "Configuration" page on the Synergy 8 admin panel, Select the "E-mail Accounts" option.
  2. Click the "webmail" link and enter the email account address and password - for example info@mywebsite.com
  3. Click "Auto Responders"
  4. Under the functions heading there is an option to delete the auto-responder
